A handover protocol enables both parties to move in and out of the premises smoothly.
Moving into a new office is exciting. Undiscovered defects in the rented property can quickly become a burden or even result in hidden costs. It is therefore worth drawing up a handover report.
A handover report, also known colloquially as an acceptance report, documents the condition of a rental property at a certain point in time. This is usually the time of handover and return of the rented property to the tenant or landlord. The protocol records the condition of the rented property and any defects. This makes it possible to trace which defects were caused by the tenant and which were already present at the end of the rental period. The handover protocol therefore provides security for both parties.
As there is no legal basis for drawing up such a protocol, there are no requirements. Generally speaking, all areas relating to the rented property should be noted. Upcoming changes or repairs to the rented property should also be recorded. In addition, it should be mentioned how the landlord gives the tenant access to the premises and how many keys/badges etc. the tenant receives in return. The general rule for a handover protocol is: The more, the better.
